Series Concept

Medical Office Service Coordinators provide technical and administrative services for a hospital-based clinic or an off-site medical office. They perform and/or lead or supervise the following types of functions: answering telephones; scheduling appointments; verifying eligibility; registering patients and checking them in and out; making referrals and obtaining authorizations; abstracting patient records and coding diagnoses and procedures; posting payments and entering charges to automated billing systems; filing and pulling medical record documents and charts; handling, reconciling and depositing cash; and performing other support functions for the office.

Class Concepts

Medical Office Service Coordinator I

Positions at this level generally perform routine, entry-level functions, and typically have a single focus. Incumbents may serve in the following types of roles: office telephone operator; medical records clerk; or general clerk. Incumbents may also provide back-up to other functions described below.

Medical Office Service Coordinator II

Positions at this level perform functions as generalists at the fully operational level. Incumbents perform one or more functions described above, other than or in addition to those described in Level I.

Medical Office Service Coordinator III
Medical Office Service Coordinator III - Supervisor

Positions at this level have lead or supervisory responsibility for all of the employees in a small clinic or office; or for a unit, section or functional area in a single clinic or office, serving as subject matter expert and resource person for the staff.

Medical Office Service Coordinator IV
Medical Office Service Coordinator IV - Supervisor

Positions at this level have lead or supervisory responsibility for all of the employees in a larger clinic or office; or for a unit, section or functional area in an entire region, or in an office or clinic with multiple sites, serving as subject matter expert and resource person for the staff. Incumbents also typically assume additional administrative responsibilities for the clinic or region, and may represent the practice manager on committees, in meetings, and with other health system departments.

Medical Office Service Coordinator V - Supervisor

Positions at this level have supervisory responsibility for a group of permanent employees in a larger clinic or office. They provide recommendations regarding operational and administrative matters; monitor and analyze clinic performance reports; and make recommendations designed to improve or enhance clinic performance. They also typically assume additional administrative responsibilities for the clinic or office, and may represent the practice manager on committees, in meetings, and with other health system departments.

Minimum Qualifications

Specific qualification requirements are approved for positions by the Human Resources Director in accordance with the provisions of Personnel Policies for Staff Members.

Positions allocated to supervisory titles must meet the criteria for supervision as defined in the Supplemental Guidelines for Supervisory Classes (SAM 12).
