Series Concept

Under the direction of a front line manager, the Meeting Room Captain is responsible for the preparation of rooms for meetings and conferences for on-campus and off-campus facilities.

Incumbents in Meeting Room Captain positions coordinate activities related to meeting room operations. Specifically, the Meeting Room Captain is responsible for the set-up of audio and video equipment; ensuring that the meeting room is clean and that the table and chair set-up meets client needs; and troubleshooting client problems as they arise. Problems can include complaints regarding heating, ventilation, lighting, room configuration, room cleanliness, audio-visual requirements, parking, program materials and catering. In addition, the Meeting Room Captain provides training to other members of the staff and prepares reports. The Meeting Room Captain may be assigned responsibility for ensuring compliance with safety, fire and University regulations.

Meeting Room Captain III

Incumbents at this level have full responsibility for making sure that the logistical requirements of meeting coordination and event management in multiple facilities are met. Responsibilities include: ensuring that meeting rooms are clean and that room set-up is based on client requirements; ensuring that audio-visual equipment is operational; and ensuring that flipcharts, pens, copy machines and other last minute programming elements are attended to as needed. The incumbent meets with the meeting coordinators to ensure that unplanned needs are addressed and to ensure that room comfort indicators (temperature and lighting levels) meet client needs. Incumbents must have audio-visual skills sufficient to troubleshoot complex problems with audio/visual equipment in the event that the information technology expert is not immediately available. Incumbent must have housekeeping skills sufficient to prepare a room or resolve housekeeping issues that occur during a meeting.

The Meeting Room Captain III is also designed for an incumbent who has the complete responsibility for making sure that the logistical requirements of meeting coordination and event management in multiple facilities are met. The incumbent must interface with the Sales, Food and Beverage, Information Technology, Facilities and Housekeeping departments to ensure that both planned and unplanned catering, maintenance, technology, parking and cleaning needs of the meeting rooms are addressed. This position works independently and leads activities of other Meeting Room Captains. A higher salary range (Range B) has been designed for this position.

Meeting Room Captain II

Incumbents have responsibility for meeting room set-up. Responsibilities include: ensuring that the room is cleaned and set-up based is on client requirements; ensuring that the audio-visual needs of the meeting are operational; and ensuring that flipcharts, pens, copy machines and other last minute programming elements are attended to as needed. Incumbents must have some audio-visual skills sufficient to trouble-shoot simple problems in the event that information technology expert is not immediately available Incumbent must have housekeeping skills sufficient to prepare a room or resolve housekeeping issues that occur during a meeting. The position generally works independently.

Meeting Room Captain I

This is an entry-level position. Incumbents have responsibility for meeting room set-up that includes the following responsibilities: ensuring that the room is cleaned and set-up based on client requirements; ensuring that the audio-visual equipment is operational; and ensuring that flipcharts, pens, copy machines and other last minute programming elements are attended to as needed. Incumbents must have some audio-visual skills sufficient to trouble-shoot simple problems in the event that information technology expert is not immediately available. Incumbent must have housekeeping skills sufficient to prepare a room or resolve housekeeping issues that occur during a meeting. The position generally works in a team with other Meeting Room Captains, but may on occasion work independently.

Minimum Qualifications

Meeting Room Captain III

Two years of related experience or an equivalent combination of education and experience. The lead position (Range B) typically requires three years of related experience or an equivalent combination of education and experience.

Meeting Room Captain II

One year of related experience.

Entry-level position.
