Series Concept
Medical Records Administrators plan, direct, and supervise the management of medical information and perform related duties as needed.
Incumbents design, implement, and coordinate methods for collecting, analyzing, storing, retrieving, and reporting patient information and statistics, ensuring compliance with legal, accreditation, regulatory, and stakeholder requirements. (Stakeholders include, but are not limited to, physicians, patients, researchers, administrators, attorneys, insurance companies, and governmental agencies.) They develop medical information systems for effective records maintenance and retrieval, review records to ensure completeness, accuracy, and data quality, and assist clinical staff in developing criteria for evaluating patient care. They ensure the confidentiality of patient records in compliance with legal requirements, liaise with stakeholders, support clinical research staff utilizing medical records, assist in defining and maintaining standards for medical record-keeping, and may supervise staff.
Class Concepts
Medical Records Administrator
Under general supervision, incumbents perform complex professional tasks within a medical records program. They develop and maintain effective patient record systems across various areas, may serve as functional specialists, and oversee lower-level technical and clerical staff.
Assistant Medical Records Administrator
Under supervision, incumbents perform the majority of duties described in the Series Concept, primarily following established procedures with limited authority to interpret University policies. This is an entry-level position in the series, though positions may be assigned to this level on a continuing basis.
Minimum Qualifications
Medical Records Administrator
Certification as a Registered Records Administrator by the American Medical Records Association or eligibility for the certification exam; plus two years of experience in a hospital medical records department or equivalent education and experience. Must possess the knowledge and skills necessary for successful job performance.
Assistant Medical Records Administrator
Certification as a Registered Records Administrator by the American Medical Records Association or eligibility for the certification exam; or an equivalent combination of education and experience. Must possess knowledge and skills necessary to successfully perform position duties.
